Scope and effective date
Effective November 6, 2026. This notice covers The Charleston Agency, LLC’s public website and linked insurance-review and referral-request portal. It describes these websites’ inquiry features. It does not replace any insurance-information privacy notice that must be delivered for an application, policy or other insurance transaction.
Information collected and sources
The main website directs you to our review portal or to phone and email. In the portal, you provide your name, email, optional phone and business name, state, coverage interests, preferred contact time and any property or referral details you choose to include. We also save your request reference, submission time, contact-permission record and campaign/source code. Referral details may come from a referring professional; share another person’s details only with their permission. Do not submit Social Security numbers, medical records, payment details or confidential financial documents through these general inquiry forms.
How inquiry information is used and shared
We use inquiry information to respond, coordinate insurance reviews or referral conversations, send request confirmations, maintain the agency’s CRM records and protect the forms from abuse. Agency staff and service providers supporting website hosting, database storage, email delivery and CRM operations process information for these functions. These sites use ChatGPT Sites/Cloudflare infrastructure and Resend for configured request-notification emails. Email and phone providers also process communications you choose to send. An insurance application or disclosure to a carrier is a separate step in the insurance process, subject to applicable notices and law. These inquiry features do not sell information or transmit it to advertising networks.
Contact permission and marketing choices
The required unchecked permission box authorizes follow-up about the request you submit. It is not an enrollment in an ongoing marketing list or permission for automated marketing texts or prerecorded calls. To withdraw contact permission or stop marketing emails, email sydney@thecharlestonagency.com, reply “Unsubscribe” to a marketing email, or call (503) 956-1640. Withdrawing marketing permission does not stop necessary policy-service or transaction communications.
Cookies, technical information and Facebook
These pages do not install advertising pixels or cross-site advertising cookies. Hosting and email providers may process technical information such as IP addresses and request logs to deliver and protect their services. The portal temporarily hashes an IP address with a server secret and time bucket to limit abusive submissions; rate-limit entries expire after 20 minutes and are removed during later submissions. Facebook links record aggregate counts by day, source and campaign, without a visitor or contact identifier in that count record. We do not change these site features in response to browser Do Not Track signals because they do not perform cross-site advertising tracking. Following a Facebook or other external link takes you to a service with its own privacy practices; those services may track activity under their own notices.
Records, access and correction
Inquiry records are saved in the agency’s portal and CRM for follow-up and recordkeeping; they are not automatically erased when a conversation ends. Contact Sydney to ask what inquiry information the agency holds, request access or correction, request deletion, ask about retention, or exercise applicable privacy rights. We may need to verify your identity and retain records required for insurance, legal or business recordkeeping. Do not send identity documents in an initial privacy email. This notice does not limit rights provided by applicable law.
Security, accessibility and changes
The portal protects staff-facing record endpoints with server-side access controls and uses abuse controls on public forms. No website or email service can guarantee absolute security. Contact us to arrange an appropriate way to share sensitive application documents. If a page or form is difficult to use, call or email for assistance or another way to make your request. Updates to this notice will be posted here with a revised effective date; any additional notice required by law remains applicable.

Website descriptions are general information, not a quote or promise of coverage, premium savings or a particular turnaround time. Availability depends on state licensing, carrier appointments, eligibility and underwriting. Coverage is governed by the issued policy, endorsements, limits, deductibles and exclusions.
